The Senior Administrator, Lease Documentation, reports directly to Senior Vice President - Legal, Leasing & Operations and is responsible for the following in his/her maintenance of the Office/ Industrial Portfolio - EAST (Ontario).

Manages the Lease Documentation function for the EASTERN Canada Office/Industrial portfolio, which encompasses:

  • Drafting offers, leases, transfers and ancillary documentation from written and verbal instructions; ensuring all documentation is drafted accurately from verbal and written instructions; superior drafting skills required
  • Reviewing draft leases and ancillary documents prepared by Leasing Team and Administrative Assistant/Coordinator: strong attention to detail is required
  • Mentoring of Lease Administrative Assistant/Coordinator
  • Ability to identify problematic and high-risk issues for Landlord and convey to Leasing team and/or Senior Vice President, Legal
  • Negotiate proposed amendments and step-downs in negotiations with brokers, tenant and/or tenant's solicitor, with input from Leasing Team and /or in-house legal counsel as necessary
  • Responsible for assisting in the development and updating of standardized lease policies, procedures and documents and ensuring legal compliance through interface with internal or external legal counsel
  • Prepare lease summaries for accounting and other internal departments or electronic systems
  • Provide due diligence and lease review services in connection with property acquisitions, dispositions and/or other corporate initiatives
  • Preparation and negotiation of Estoppel Certificates and Non-Disturbance Agreements
  • Legal file review as required and related advice to stakeholders
  • Draft miscellaneous legal correspondence, as required
  • Responsible for ensuring effective delivery of lease documentation services through liaison with other internal departments, such as Asset Management, Operations, Accounting and Leasing
  • Track relevant dates from executed leases including workflow, commencement dates and other key deadline
  • Professional, timely communications with external counsel, brokers and tenants
  • Other duties as required by Senior Vice President, Legal / Leasing and Operations

Experience and Qualifications:

  • 5+ years of related drafting and negotiating experience in the field of commercial industrial/office real estate
  • Proficiency in and comfort with issues relating to leasing of Office & Industrial premises
  • Experience reporting directly to senior counsel or senior management an asset
  • Must have experience drafting at a proficient level where work has largely not had to be reviewed prior to execution
  • Superior knowledge and proficiency in the areas of office and industrial leasing
  • Experience liaising with senior leasing associates and executives and contributing to problem solving and negotiation impasse solutions
  • Ability to work independently and proactively
  • Ability to identify and analyze problems, and take decisive actions and appropriate risks when needed
  • Excellent oral and written communication skills; ability to develop and sustain strong co-operative working relationships both internally and externally, including external counsel
  • Ability to allocate one's time effectively, to work under pressure and to manage tight deadlines; ability to handle multiple demands, competing priorities, and to adapt to new ideas and constant change; must be accurate and detail-oriented; must be willing to learn and to perform in a dynamic environment
  • Advanced skills in Word, Excel, Sharepoint, Yardi and information technology platforms
  • Paralegal training or designation an asset
